Microsoft Outlook uses two primary data file formats: OST (Offline Storage Table) and PST (Personal Storage Table). Although both store Outlook mailbox data, they serve different purposes. An OST file is created when Outlook is connected to Microsoft Exchange Server, Microsoft 365, or Outlook.com. It keeps a synchronized offline copy of the mailbox, allowing users to work even without an internet connection.
A PST file, on the other hand, is designed for storing emails locally. It is commonly used for POP3 accounts, backups, archiving, and transferring Outlook data between computers. Unlike OST files, PST files can be easily imported into any Outlook profile without requiring the original Exchange account.
The biggest advantage of an OST file is automatic synchronization with the mail server, while PST files provide greater portability and long-term storage flexibility. However, if an Exchange account becomes unavailable or an OST file is orphaned, accessing the data can become difficult.
Choosing between OST and PST depends on your needs. If you require offline synchronization with a mail server, OST is the better option. If your goal is backup, migration, or independent access to Outlook data, PST is more suitable. A professional OST to PST Converter helps users safely convert OST files into accessible PST format while preserving all mailbox information.
